Upper limits are set on the number of users that can be registered (number of seats) and the total amount of files that can be stored on the Workflow platform according to the contract license. Time zones, default language and password policies are set throughout the Workflow platform. For password policies, it is also possible for the system administrator to change settings themselves.

- Annual payment plan: The upper limit of the number of contracted Users (Seats) corresponds to the limit of the number of registered Users
The operation (including API) of exceeding the limit on the registered Users will result in an error
If the number of registered Users has reached the limit the [New User] button will be hidden - Deleted User Accounts are not counted towards the number of User Accounts
- Monthly payment plan: There is no limit on the number of registered Users and you will be charged according to your utilization
- Under some special contracts there is a limit to the number of total ongoing Issues
- Upper limit on file capacity is “The value obtained by multiplying the number of seats (Annual payment plan) or users (Monthly payment plan) by 30GB (Professional Edition)”
- There is no limit in the amount of data entered (e.g. Numeric, String) in the Issues, except for File type data
- You can check the total amount of saved files in the [File Repository] (M314)
- After reaching the file capacity limit [Starting] a Process will result in an error
2. Delete Unnecessary Data to Avoid an Unnecessary Increase of License Costs
- a. Delete Unnecessary User Accounts
- Delete the User Accounts of retired employees, etc. (M306)
- b. Delete Unnecessary files
- Delete, for example, obsolete files, high-res image files, etc. (M314)
- Even when you Delete User Accounts the system saves a duplicate of User information in Issues data or Issues Log information, etc.
- As for communication limitations in Questetra, uploading is limited to 100MB on each operation
3. Overview of Common Settings Applied to All Users in the Workflow Platform
- a. Access URL
- A dedicated URL is issued for every Workflow platform
- b. Timezone
- Time standard for time recording of Task processing, posting to SNS, etc. (e.g. +9:00))
- c. Default Language
- Display Language that is set when Adding User Accounts (also, descriptions on the Login screen)
- d. Password Policy
- Setting Password complexity requirements when initially setting or changing a password
- e. Logo
- An image that constantly displays on the top-left of screen, and an image on the Login screen
- The subdomain (host name) of the Access URL can be customized only when you transition to a paid contract (as of July 2018)

- Modifying timezone settings (including summer time) or the default language is not available at this point
- It is possible to change User time zone and User language (M108)
4. Overview of Password Policy
- a. Complexity
- The length, types of character or number of character types that must be included, restriction of reuse, etc.
- b. Expiration
- Duration of a password (period after which the account will be Suspended or Disabled)
5. Set Password Policy
- 1. Set the Complexity
- Put checks on the complexity necessary to meet company policy (Single-factor Authentication)
- There isn't a function to set the expiration period of a password in Questetra's standard authentication function currently
- Collaboration with an external authentication system is required if advanced identification to satisfy other conditions is needed (M309, M310)
6. Change the Logo
- 1. Apply Your Own Image to the Logo at the Center of the Login Screen
- Import an image file (Logo (large): Up to 1MB, JPG/GIF/PNG)
- If it exceeds width 500px x height 375px, displaying size is shrunk keeping the aspect ratio
- 2. Apply Your Own Image to the Logo on the Upper Left Corner of Operation Screen
- Import an image file (Logo (small): width 100px, height 30px, JPG/GIF/PNG)
