- Question.
- Please tell me, concerning an Approval flow, how to allocate approval Tasks to a person according to the department where the applicant belongs.
- Answer.
- You can more flexibly specify the person in charge of processing by combining the designation of the leader of the department to which you belong, the department leader higher than the department to which you belong, and the designation of roles such as "department manager".
We will show you how to relatively allocate an Operator, such as an applicant's superior, through an example of "Operator" setting.
A. When the person in charge of Operating the Approval Task is the leader of an Organization
If the approver is the leader of an Organization, you can use that to allocate the person in charge of the downstream Step.
E.g.
A-1: Leaders who belong to the SAME Organization as the Swimlane Applicant
In this case, the Task is allocated to the leader of the Organization to which the applicant directly belongs.
A-2: Leaders who belong to the UPPER Organizations of the Swimlane Applicant
In this case, the Task is allocated to all leaders of the Organization higher than the Organization to which the applicant belongs (not including the Organization to which the applicant directly belongs).
A-3: Leaders who belong to the PARENT Organization of the Swimlane of Applicant
In this case, the Task is allocated to the leader of the Organization directly above the Organization to which the applicant belongs.
B. How to specify the person in charge of Operating the Approval Task by Role.
Aside from Organizational structure, the Role setting allows Users to belong to a Role regardless of their Organizational setting, and you can assign personnel using this.
E.g. Users who belong to the Role "Company retreat planning team"
In this case, regardless of the organization structure, a Task is allocated to all Users belonging to the Company retreat planning team Role
Combine A and B to narrow down the allocation
Depending on the Organizational structure and the position of the applicant/approver, there may be cases where it is not possible to designate the Operator properly by merely specifying the leader. It is possible to perform more flexibly filtered allocation by combining the designation in the Organization and the Role.
E.g. Users belonging to both "Leader or staff member in the UPPER organization" of the Swimlane applicant and the Role "Department managers".
In this case, the Task is allocated to leaders who belong to the Organization higher than the Organization to which the applicant belongs (not including the Organization to which the applicant directly belongs). Furthermore, in case you want to include the leaders of the Organization to which the applicant directly belongs, you can achieve this by adding a Role to the conditions.
