Special operations will be needed to make major changes to the Organization or Organizational Tree to which Users belong, for example when a company merger or a business expansion happens. You can modify not only base information such as [Organization], [User], [Role], but also Workflow Apps that are referring to them, all at once.
1. Clarify the Changes to the Organizational Tree in Advance
- 1. Identify organizations to be eliminated
Confirm the sub-trees to be eliminated in the Organizational Tree
- 2. Identify the new organizations to be established
Clarify the new sub-trees to be added to Organizational Tree
- Giving a temporary name to the organization to be eliminated will help to make the modifying work efficiently (e.g. Sales2013*)
- Even when doing a simple change in the position of a User's sub-tree within the Organizational Tree, it is efficient to regard this as the elimination of the Organization and its subsequent establishment as a new Organization
2. Establish a New Organizational Tree
- 1a. Add individually
Click [New Organization] to open the organization screen, and add Organization Name, Email and Parent Organization
- 1b. Add in bulk
Add in bulk using CSV data (M303)
- 2. Check Settings of Privileges Granted
Change settings of Privileges automatically granted according to the affiliation as needed

3. Modify Workflow Apps that need to be fixed
- a. Modify individually
Ask a User with the necessary Privileges for each Workflow App to edit them
- b. Modify in bulk
Replace organizational information (organizations to be Eliminated) in Allocation Rules with that of new organizations all at once
- To modify each App, list them using [Apps referring to the organizations]
- To replace the organization at once, [Batch change Operator settings] is helpful
4. CSV Bulk Modification of User's Affiliation Information
- a. Affiliate only to New organizations
To apply the new system immediately you must only affiliate Users to new organizations
- b. Affiliate to Both of New and Existing organizations
If you have a transition period affiliate Users to both of new and existing organizations
- If necessary, Back up CSV files by clicking [Download All] in User List screen
- To delete discontinued organizations after completing the transition click [Delete] in the details screen of that organization
