A Task is an individual work step processed within a Case. This page describes the attributes recorded primarily for Human Tasks, such as the operator, status, and date/time information.
1. Properties That Identify the Task
- App ID: The ID of the Workflow App in which the Case containing the Task was started.
- Case ID: The ID of the Case to which the Task belongs. Displayed together with the Title.
- Step Name: The name of the Task as defined in the workflow diagram.
- Node Number: A number that identifies the step within the App.
- Task ID: An identification number automatically assigned to each Task that occurs.
If the same step is executed multiple times due to a loop or similar structure, each execution is recorded as a separate Task.
2. Status-Related Properties
- Task Status: An attribute representing the progress of the Task. It takes one of the following values:
- Offered: The Task is waiting to be accepted by one of the candidates.
- Unprocessed: The operator has been determined, but processing has not yet started.
- Processing: Processing has started (e.g., by opening the processing form or performing [Record Start Date]), but has not been completed (e.g., by [Save and Suspend]).
- Completed: The operator's input and selections have been finalized, and the token has advanced to the subsequent step.
- Error Terminated: The Task did not complete normally due to an error, force-termination, or other reasons.
When a Task is Error Terminated, the reason is also recorded (e.g., force-termination due to deadline reached, Case force-termination, error termination due to no operator, etc.).
The names of statuses and which statuses are displayed may differ depending on the screen.
3. People-Related Properties
- Operator: The user who processes the Task.
- Operating Organization: The organizational affiliation (position) of the Operator when processing the Task.
- Candidates: Users who can accept a Task that is in [Offered] status.
A Task in [Offered] status does not yet have a determined Operator. When one of the Candidates accepts it, the Task moves to that user's [My Tasks].
4. Date/Time-Related Properties
- Task Occurrence Date: The date and time when the token within the Case reached the step and the Task was generated.
- Allocated Date: The date and time when the Operator of the Task was determined.
- Start Date: The date and time when the Operator first opened the operating form, or performed [Record Start Date].
- Deadline: The deadline date and time, if a deadline is configured in the App.
- Finish Date: The date and time when the Task processing was completed.
The Start Date is not necessarily the same as the Task Occurrence Date or the Allocated Date.
5. Other Properties
- Team Task: Whether the Task belongs to a Team Swimlane (a step handled by a team).
- Read/Unread: Whether the Task has been read or is unread by the user. Displayed with a distinction in [My Tasks] and other views.
6. How to View Tasks
Depending on the status of the Task, it can be viewed primarily from the following screens:
- [Offered]: Tasks for which you are a Candidate and that have not yet been accepted.
- [My Tasks]: Unprocessed or Processing Tasks for which you are the Operator.
- [Operated Tasks]: A history of Tasks you have processed.
- Case detail screen: Processing and completed Tasks that have occurred in the Case.
- Task search: Tasks filtered by App, step, status, Operator, Occurrence Date, Completion Date, Deadline, and more.
The information displayed and the operations available vary depending on the user's App permissions, whether the user is an Operator or Candidate, and their involvement in the Case.
