M305: Add New User Accounts

 

A User Account is required by each user who designs Workflow Apps, those who initiate Cases, those who deal with Tasks, or those who supervise Case progress. To add new User Accounts [User Manager] Authorization is required.

1. Overview of the Relation between a User and a User Account assumed by Questetra

a. Email Address login

Use the User's email address as the Login ID (Authentication ID)

b. Prohibit Account Sharing

Do not issue accounts to be used by multiple Users as a general rule

• Some functions require that your login ID is a valid email address.
• You also need to register a user account when setting up ID integration such as Google Workspace OpenID or SAML

2. Add User Accounts

a. Add Individually [New User]

Register User Name, Email Address, Password, etc.

b. Add in Bulk [Import Users]

Add in bulk from CSV data

• This explains the specific method for adding a user account
• The Organizational Tree to which all Users will be assigned must be designed and added to the system in advance (M303)
• Each User Account must belong to one or more [Organizations]
• A pre-registered [Position] can be assigned to the User after affiliating them to an [Organization]
• You can retrieve a CSV sample by clicking [Download All] in User List screen
• During CSV Import initial passwords will be automatically created when the Password Field is left blank
• During CSV Import when you put "!!Position name" following the Organization name the User will be registered to the [Organization] as the [Position]

3. Notify the Login ID and Password to the User

a. Notify of the Initial Password (Individual Addition)

The [User Manager] notifies the User of the initial password to be manually entered by the user

b. Notify the Initial Password (Bulk Addition)

Notify of the Initial Password which was automatically generated by Questetra

• There is no function to display the Password. (Questetra stores the hash value of the password.)
• If you explain how to reset the password, you do not need to notify of the password.
• When single sign-on is enabled, you can optionally configure whether password login is enabled or disabled
• If password login remains enabled, login information will be provided based on whether the initial password is enabled or disabled
