Automatic Notification Emails can be sent at various instances, such as an Issue arriving at the business Step that you are responsible for. You can customize the timing of these notifications in the [Account Settings] (top right menu) and clicking on the [Notification] section. In addition, you can also configure your own personal settings including password or language here.
1. Editing Personal Information
- a. Changing Display Name
- You can change the name to be displayed (e.g. 'Suzuki' ->'SUZUKI').
- b. Changing User Icon
- You can set your own icon (up to 100 KB).
- c. Changing the Main Affiliation
- You can change your default departmental affiliation if you have more than one affiliation.
- Only users who have [User Management] authorization can change an Email address, Organization, Position or Role
- For users who belong to more than one department some processes will require you to select your department (e.g. Expense Report, etc..)
- Since the User icon is cached in the browser, it takes time to reflect the change (1 day)
2. Changing Passwords
- a. Changing Login Password
- Change your password as you need
- b. Issuing API Password
- Issuing as the workflow APP designer, for utilizing Basic Authentication API
- "[Password Policy]" is configured by the [System Administrator]
3. Changing Language
- 1. Display language
- You can switch the displaying language of the menu and email alerts on your operating screen
- Japanese, English, German, Spanish, French, Korean, Portuguese, Simplified Chinese.
(Kyoto dialect, Simplified Japanese)- Kyoto dialect, Simplified Japanese are discontinued in version 15.0 (April 2023)
4. Change the Time Zone
- 1. Time Zone
- It is possible to switch the Time Zone setting of the time displaying on your operation screen, which will affect the Datetime type data items or date and time of processing records
- The Date type data items and the results of the Search and Aggregation function are indicated in the Time Zone common to the entire system
5. Setting Notifications
- 1. Incoming Issue (Offered)
- Notification that an Issue has been added to the Step which you are in charge of
- 2. Incoming Issue (Automatically Undertaken)
- Notification that an Issue has been automatically assigned to you, so you have another item in [My Tasks]
- 3. Deadline for Handling (1 Day caution)
- Notification one day before the Deadline for Issues in [My Tasks] or [Offered]
- 4. Deadline for Handling (1 Hour caution)
- Notification one hour before the Deadline for Issues in [My Tasks] or [Offered]
- 5. Deadline for Handling (Deadline Exceeded)
- Notification that the Deadline for Issues in [My Tasks] or [Offered] has been exceeded (at fixed time intervals)
- You can choose from notification by email, notification on Open Chat, or both
- Emails come from no-reply@s.questetra.net, a dedicated address for notification. (Please modify your spam filter, if necessary)
- The Questetra server will receive replies to a notification-only address, but it is automatically discarded
6. Setting Open Chat Notification
- 1. Mentions
- Email notification when another User mentions you in a comment
- 2. Reaction (Comment)
- Email notification when another User replies to your message
- 3. Reaction (Good!)
- Email notification when someone clicks 'Good!' on your comment
